Artist Management Assistant

Role Duties

Artist travel:

Assist communications between NVS and artists/agents/managers negotiating flights and road transport requirements.

Book flights, distribute confirmations and record essential flight data into the festivals admin system.

Manage artist group bookings including allocation, APIs and ticketing.

Assist in control of artist wide road transport – airport and local. Book road transport with local supplier.


Artist accommodation:

Assist communications between NVS and artists/agents/managers in regards to booking accommodation.

Book, distribute confirmations and record essential accommodation data into the festivals admin system.


Spend accounting:

Liaise with accounts team to reconcile company card spends from the Artist Management department.


General Admin:

Quality control over all Artist Management data documents and file storing.

Assist managing artist Guestlist.

Croatian work permit and visa processing.

Artist Rider collation.

Other: work with other departments such as marketing to achieve cooperative projects involving artist management.


Who we are looking for:

Driven and independent thinking person who’s looking for a role in a fast paced work environment as a part of a small festival management team.

The candidate must have excellent communication skills, be level headed and calm under pressure with very good attention to detail and highly organised. Creativity when tackling logistical problems is also key.

Passion for the music at both Outlook & Dimensions is a bonus, it will help you connect with clients more efficiently but is not necessary.

Must have a keen knowledge of Excel and Google spreadsheets.


Other information:

You will be on site in Croatia for approximately 3 weeks in August/September. You will be working extensive hours and on call 24/7 during this period face to face with our clients – artists, agents, managers and wider teams within our festival.

This is a temporary role running from May through to September
